Monday to Friday, 8am to 5pm The Health Information Management Supervisor is responsible for performing first-level operational supervision of the personnel, activities, actions, and services of the Health Information Management Department.
In this role, the Health Information Management Supervisor is responsible for ensuring the successful completion of operational activities, implementation and attainment of productivity and quality standards, as well as the effective supervision and evaluation of department members.
The Health Information Management Supervisor will demonstrate a high level of self-initiative in successfully performing all essential functions, duties, tasks, assignments, and responsibilities following well-established procedures of the Health Information Management Department at a location assigned by management.
The Health Information Management Supervisor will possess a higher level of knowledge and experience providing support and resolution recommendations for problems, issues, or situations that are related to operational processing.
The Health Information Management Supervisor works with intermittent supervision and review, following well-established procedures that utilize defined and limited independent judgment.
Any work problems involving departures from standard policies, interpretations, or procedures the Health Information Management Supervisor will present the situation and information to the Health Information Management Manager for review and direction on a resolution.
Essential Job Functions: Assists the manager in organizing, planning, and implementing strategy Maintains staff by recruiting, selecting, orienting, and training employees; provides personal growth opportunities to staff.
Controls expenses by gathering and submitting budget information, scheduling expenditures, monitoring variances, and implementing corrective actions.
Completes operations by: Organizing workflow to accomplish established objectives Developing schedules Delegating responsibility Evaluating subordinates effectively Implementing productivity standards Resolving operations problems Maintaining reference manuals Administering necessary discipline Ensures the successful performance and/or completion of all administrative or supervisory duties, tasks, and assignments supporting departmental operations are within established time frames; meeting established rates of performance for the quality and quantity of work for the position; demonstrating a level of quality, efficiency, and accuracy in the employee’s job performance that ensures the highest standards of excellence.
Maintains a Continuous Quality Improvement (CQI) approach within the department; continuously gathering and assessing data for use in improving individual and department performance, as well as contributing to the development of more efficient and effective operational processing.
Provides operational supervision of the assigned work unit and personnel, within the Health Information Management Department, securing the successful completion and fulfillment of all operational and processing goals and objectives as defined and scheduled.
Conducts scheduled and ad hoc audits, sampling, and reviews utilizing departmental system reports of assigned work unit and personnel productivity and performance; o Implements timely operational corrections or changes to staffing assignments, or prioritization of workload, that will support effective resolution of unmet work assignments.
Reviews and assesses on a scheduled or ad hoc basis assigned operational processing for productivity, accuracy, quality, and quantity.
Provides supervisory review and approval of operational activity or actions as required by policy or procedure.
Receives and responds to elevated technical problems, issues, or complaints related to the Electronic Health Records system from department members; o Creates and submits all support requests with the Information Technology (IT) Help Desk for these elevated technical support requests; coordinating and tracking the response for a timely and effective resolution to the complaint or problem.
Completes the data collection, generation, and distribution of scheduled and ad hoc operational reports and/or summary information, as assigned or requested, to department leadership through utilization of available reporting functions linked to department databases or systems.
o Report generation and preparation includes the processes of verification and cross-reference of findings and finalizing report or summary information before documentation and distribution.
Assures the implementation of strategic department goals and objectives, policies, and procedures; effectively interpreting and implementing policies, procedures, and best practices supporting successful department deliverables and/or outcomes.
Other Duties and Responsibilities: In support of the Mission and Vision of El Rio Health, will at all times represent themselves as a professional role model of El Rio Health serving as a positive informational source for members of the community.
Supports El Rio by participating in community events which promote good health, and which contribute to a broader awareness and understanding of El Rio Health and the many services provided to the community.
Participates in all appropriate health care activities related to El Rio Health on a local, state, and national level to maintain and enhance El Rio’s image with health agencies, professional associations, and the general public.
Ensures and supports the cost-effective use of materials, supplies, and equipment by limiting waste of all organizational supplies and resources.
Maintains their skills proficiency with El Rio operating systems and/or software programs by adapting to changing requirements and successfully learning and demonstrating new skills in response to software, system, and program improvements or upgrades.
Maintains a safe and healthy work environment by establishing and enforcing organization standards and by adhering to legal regulations.
Performs other duties as assigned.
Minimum Education and Experience: Associates Degree in Health Care or a related field from an accredited college or university.
One (1) year experience with an electronic health record system Three (3) years’ experience in the Health Information Management (HIM) field.
Three (3) years’ supervisory experience; preferably in a healthcare environment.
If applicable, equivalent combination of education and experience may be considered, and must be directly related to the functions and responsibilities of the job.
Required Licenses, Certifications, and Registrations: Employees in this position are required to have reliable transportation that can meet any operational reassignments of the organization during the workday.
If an employee is driving during work hours, the employee is required to possess a valid driver’s license and must be in compliance with Arizona vehicle insurance requirements.
Preferred Education, Experience, Skills, Abilities: Bachelor’s Degree in healthcare or a related field from an accredited college or university Five (5) years of supervisory experience; preferably in a healthcare environment.
Bilingual (English/Spanish) with the ability to speak, read and write in both languages.
Preferred: Registered Health Information Technician (RHIT) certification from the American Health Information Management Association (AHIMA).
