November, 2023) *Position Description: Facilities Manager / Custodial Supervisor* *Summary:* Serve as the focal point of contact between custodial staff, maintenance/landscaping contractors, and both church members and outside parties regarding use, maintenance, and cleanliness of church campus and facility.
The FM is responsible for observing the policies of the board of Trustees in scheduling and maintaining the entire church campus, inclusive of buildings, equipment, and grounds.
The Facility Manager is supervised directly by the Senior Pastor, but must also regularly communicate with and be amenable to the direction of the church’s Board of Trustees who steward the property and all physical resources of the congregation.
*Classification:* This is a non-exempt, part-time, hourly position supervised by the Senior Pastor, budgeted at 20 to 22 hours per week.
*Essential Job Responsibilities* *Facility Management* * Serve as primary point of contact for scheduling of facility spaces for all meetings and events, including attendance at one staff meeting per month to coordinate facility use with other staff.
* Serve as primary point of contact for all room rentals from outside church groups: drafting, receiving, and monitoring contracts; recording paperwork; and ensuring collection of any scheduled fees.
* Maintain scheduling calendar in online software _Church Windows_.
* Schedule custodial staff to be on site to support events occurring on campus, as needed, and ensure adequate coverage for all events.
* Provide oversight to, and coordinate, key distribution.
* Order and maintain adequate custodial supplies within budgetary constraints.
* Review the needs of items requiring repair/replace, determining if such work is within the capabilities and time constraints of existing staff.
When outside contractors are deemed necessary, communicate clearly with the Board of Trustees for further action, funding, etc.
* Bring needs for major maintenance to the attention of the Board of Trustees and, when appropriate, also bring researched recommendations concerning the issue.
* Carry out the decisions of the Board of Trustees, with regard to major or minor maintenance matters, in a timely manner.
* Annually review facility budget with the Board of Trustees.
* Work with Board of Trustees, including attending monthly evening meeting as requested, to develop policies for use of rooms, fees, and/or loaner property.
* Coordinate and track any church property that leaves campus.
* Provide oversight to management of the Memorial (Rose) Garden, including coordination with volunteers, ordering and placement of plaques, and placement of ashes to be interred, in accordance with established policy.
* Other responsibilities as assigned.
*Facility Operations* * Oversee custodial and maintenance staff, including: o Day to day supervision, performance reviews, etc.
o Prioritize cleaning duties among staff and leave specific, timely instructions for staff.

November, 2023) o Ensure the campus is inspected throughout the week for cleanliness and functionality, assigning responsibilities to staff or outside contractors as necessary.
o Ensure previously assigned tasks are completed on schedule and in a satisfactory way.
o Communicate expectations with staff, addressing problems that may arise.
o Verify time sheets for custodial staff.
* Serve as a point of contact if/when the Board of Trustees authorizes the hiring of any outside contractor for work at the church, coordinating communication between contractor and Trustees as necessary.
*Budgetary Authority* * An annual budget for all areas of facility management is approved by the Church Council upon the recommendation of the Board of Trustees.
The Board of Trustees oversees this budget.
* The Facility Manager is authorized to make budgeted purchases, or sign contracts with outside parties/contractors, up to $350 without additional approval.
For expenses over $350 but within annual budget, the Board of Trustees should be contacted first.
For expenses beyond annual budget, Trustees must consult with Church Council for approval.
* The Board of Trustees approve and sign all contracts on behalf of the church, with the exception that the Facility Manager may do such up to a limit of $350.
