Duties and Responsibilities: 1.
Inspections a.
Inspect all buildings and grounds on a daily basis.
Note any deficiencies with the Resident Manager so a work order can be written.
b.
Spot check completed work and work in progress of maintenance personnel and outside maintenance contractors.
c.
Check, or assign the duty, that each pool and spa have its chemicals checked twice daily to ensure proper chemical levels are being maintained.
b.
Ensure technical aspects of the buildings are being maintained up to local code and SG Property Management standards.
2.
Vendor/Contractor Contact a.
Help write specifications for proposals for outside contractors, when needed.
b.
Meet with contractors and vendors to explain what tasks, supplies, or service the property requires.
c.
Be consistent, professional, and fair when dealing with vendors and contractors.
d.
Negotiate contracts with vendors/contractors.
e.
Get at least three competitive bids on every contracted item.
f.
Make recommendations on bids received to Property Supervisor and Resident Manager.
g.
Monitor work being completed by any outside contractor to ensure all proposed work is being completed as requested.
h.
Approve contracted jobs as being completed per company standards for payment.
3.
Inventory Control a.
Keep an up-to-date inventory of supplies available in maintenance shop.
b.
Be responsible for the stock of maintenance supplies from theft, loss, or misplacement.
c.
Keep maintenance shop organized and clean to enable parts to be located easily.
4.
Repairs and Maintenance a.
Complete all logs and records as necessary.
b.
Maintain the highest standards in workmanship when repairing any item.
c.
Set an example of good workmanship quality when repairing any item for other members of the maintenance staff.
d.
Repair items before replacing them if this course would be the most cost-efficient approach.
Keep the best financial interest of the property in mind.
Do not take short-cuts when repairing an item, or do a "patch" job, if the job can be done correctly the first time.
e.
Do not "cannibalize" a vacant apartment for parts.
Keep ample supplies on hand.
f.
Constantly evaluate methods of repair being used on the property.
Suggest ways of improving procedures.
g.
Set repair policies and standards for all staff members to follow regarding maintenance.
h.
Assign daily activities for the entire maintenance staff after meeting with the Resident Manager to determine the priorities.
i.
Be a "hands on" supervisor and participate in all maintenance projects.
j.
Perform light electrical repairs on items such as appliances, fixtures, switches, outlets, circuits, etc.
Make sure all exterior lighting is in good working order at all times.
k.
Perform light plumbing work, such as clearing stoppages, replacing fittings, etc.
l.
Replace broken glass, tile, carpet, screens, garbage disposals, fixtures, appliances, locks, and blinds.
m.
Paint interior and exterior.
n.
Perform carpentry work, such as fitting doors, freeing windows, replacing and building shelves, sanding and refinishing floors.
o.
Assist in custodial work, including sweeping, mopping, vacuuming, emptying trash, cleaning windows, etc.
, in common areas.
p.
Assist in grounds work and grounds cleaning, when necessary.
q.
Repair concrete, masonry, roof, and fencing, when necessary.
r.
Perform limited extermination services, when necessary.
s.
Have knowledge regarding water and gas meter cutoffs, all apartment and fixture cutoffs, and sewer cleanouts and complete an Emergency Plan for the property.
t.
Know and adhere to all OSHA guidelines pertaining to asbestos and other harmful materials on the property.
u.
Establish the "on call" schedule and participate in its rotation for emergencies occurring after business hours, on holidays and weekends.
5.
Resident Relations a.
Always be courteous and honest when dealing with residents.
If an item cannot be repaired at the initial visit, let the resident know when you will be back to complete the repair.
b.
Always show up when you say you will.
Be prompt and respect the resident's time as being as important as your own.
c.
Do not make promises to residents you can not keep.
d.
Set an example for the maintenance staff by treating residents with the highest quality of customer service.
6.
Personnel a.
Assist the Resident Manager and Property Supervisor in evaluating maintenance staffing needs.
b.
Assist the Resident Manager and Property Supervisor in interviewing prospective maintenance personnel and determining the most-appropriate candidate.
c.
Train, evaluate, monitor and terminate, as necessary, all maintenance personnel.
d.
Assign tasks to maintenance staff, based upon their individual abilities and job descriptions, on a daily basis.
Monitor these tasks to ensure proper completion.
