Function: The Office Manager is responsible for overseeing the daily office operations and procedures of the Community Food Bank (CFB) to include coordinating and scheduling appointments, meetings and events for the organization.
They will be a self-starter who can prioritize tasks, work effectively and maintain a high level of energy to support the team.
Duties and Responsibilities: Manages and oversees the CFB office and provides oversight and management for operations of the office to ensure smooth functions of the day-to-day activities and events.
Oversees the administrative activities to ensure procedures and practices are being followed in accordance with CFB policies and procedures.
Implements and maintains procedures, office administrative systems, and monitors design innovative work systems.
Provides leadership, assistance, and guidance to other employees and management in interpretation, development, and application of office policies, practices and procedures.
Leads project coordination of staff, including administration activities, project support and day-to-day operations.
Supports the leadership team to include event planning and meeting logistics, and other ad hoc requests and assists with organization-wide events and calendars, helping to manage conference rooms and spaces as needed.
Coordinate with IT department on all office equipment and supplies (copiers, toner) to ensure copy rooms are stocked and maintained.
Responsible for stocking the break rooms to ensure they are ready for meetings and events.
Provides research, technical, and creative writing skills.
Coordinates effectively with professional and support staff.
Oversees staff interactions and responds to their queries on office management issues.
Coordinates scheduling with inside/outside parties and acts as a liaison with facility management vendors including cleaning, catering and security.
Monitors deadlines, follows up on tasks and provides appropriate reminders.
Performs other duties as assigned.
Knowledge, Skills and Abilities: Skills in managing the day-to-day operations of an office, to include supervising office personnel, planning and coordinating events, meeting logistics and administrative activities.
Ability to perform administrative tasks such as scheduling appointments, implementing and maintaining procedures, office administrative systems and monitoring design innovative work systems.
Ability to find innovative solutions to office management issues.
Ability to multitask in an office manager role.
Strong team management and leadership skills.
Analytical and able to set and measure goals and results.
Ability to effectively communicate with employees, volunteers, donors, and businesses.
Strong time and management skills, long range planning and ability to 'see' roadblocks in advance.
Ability to work without a high-level of direction.
Strong written and verbal communication skills.
Demonstrated interest in learning and professional growth and doing the same for others.
Ability to work with people from diverse economic, social, and political backgrounds.
Minimum Qualifications: Four (4) years of experience in Office Management.
Two (2) years of staff management and supervisory experience.
Bachelor’s degree in Business Administration or a related field or relevant experience.
Intermediate proficiency in Microsoft Office Applications (Outlook, Word, Excel, PowerPoint, Teams, SharePoint, etc.
).
Preferred Qualifications: Experience working or volunteering at a nonprofit and/or food bank.
Bilingual in English and Spanish.
Physical Requirements: Light Work exerting up to 20 pounds of force occasionally, and/or up to 10 pounds of force frequently, and/or a negligible amount of force constantly to move objects.
